Dispatch and Reservations SpecialistJob Description: Dispatch and Reservations Specialist Reports to: Front Office Team Leader Position Summary:The Dispatch and Reservations Specialist role as an Inside Sales Representative processes all reservation requests, changes and cancellation received by phone, email, affiliate portals, etc. and provides attentive, courteous and efficient customer service at all times. The Dispatch and Reservations Specialist maintains a working knowledge of the all company vehicles, Bourbon Tour offerings, and services offered as well as awareness of other roles and responsibilities throughout the organization. This position must provide the highest level of service to our guests in all reservation/service related functions. Principal Duties and ResponsibilitiesReceive and follow through on all reservation requests, changes, and cancellations received by phone, email, affiliate portal, etc.Works with Chauffeur availability to assign Chauffeurs to all tripsIdentify guest reservation needsInput and access data in reservation system.Verify availability of vehicle/serviceExplain rate, any special rate(Derby, Prom), and cancellation policies to callersAccommodate and document special requests in reservation systemAnswer questions about vehicles and services offeredEnsure highest level of guest satisfaction by offering attentive service to every guest and associateAnticipate potential issues and problems and engage proactively to avoid themResolve guest problems quickly, efficiently and courteouslyListen carefully to understand all guest requests, respond with appropriate action and provide accurate informationRemain up-to-date and familiar with company policies/procedures, local attractions, current events, directions and other information on the local area in order to provide accurate information to guestsOther duties as assigned by supervisor or other managementKnowledge, Skills, and Abilities 1. Vehicle DetailerResponsible for cleanliness of vehicles per Pegasus Global standards. Assist Fleet Manager with routine inspections, maintenance, and condition of vehicles.Essential Duties & ResponsibilitiesClean and sanitize vehicle interior per Pegasus Global standardsVacuum and prepare vehicle interior per Pegasus Global standardsWash and rinse the vehicle’s exterior with spot free water - this might include cars of different sizes, as well as vans and trucksCheck fuel level and warning lights: inspect windshields for damage; check for customer items and place anything of value in Lost & FoundCheck fluid levels and add as needed; check tire condition, pressure and tread depth; inspect vehicle exterior for damageFuel if needed and stage vehicleInspect vehicle for any safety concerns; report any warning lights and/or vehicle/windshield/tire damage; pull vehicle out of the prep processing as necessaryMaintains a clean and orderly work area and report any unsafe or hazardous conditionsResponsible for wearing proper personal protection equipment (PPE) when necessary and ensuring cleaning, detailing, washing and sanitization supplies are availableSeek to improve job performance through self-assessment, skill development, training and goal settingMaintain a regular and reliable level of attendance and punctualityPerform miscellaneous job-related duties as assignedWork closely with Fleet Manager on all matters related to vehicle condition, performance, etc.Position RequirementsMust be at least 25 years of ageClean Driving record for the preceding 3-year periodMust be able to pass criminal background check and pre-employment drug screen in accordance with Pegasus Global requirementsSpecial RequirementsJob will be performed inside and outside and will require frequent walking and strenuous activity dailyWilling to work overtime, holidays, and weekends as needed.Able to lift up to 50 pounds
